Checks and Direct Deposits

Once time sheets have been submitted to our payroll specialists (via phone, fax, e-mail or web), Employer's Resource offers clients the choice of paying employees with a physical check, or through the use of direct deposit.

Once Employers Resource runs your company's payroll it is distributed using one of the following client specified processes:

Payroll Check Preparation

Employees' paychecks are mailed to the client site(s) via standard business delivery services (i.e., FedEx, UPS, United States Postal Service etc.). Paychecks are delivered complete with signatures and include a pay stub, which details items such as gross income, taxes, deductions, insurance, garnishments or charitable contributions. Paychecks arrive pre-inserted into individually sealed envelopes and are ready for distribution.

Direct Deposit Processing

With direct deposit the employee never sees or handles a check. Instead, once a direct deposit account has been established, funds are electronically transferred by Employers Resource directly into the employee's checking or savings account. A direct deposit account must be specifically set up, with authorizations for both the transferring institution as well as the receiving one. Additionally, Employers Resource mails pay stubs to the client site(s) via standard business delivery services. Pay stubs serve as a notice that the direct deposit transaction has taken place, and include details such as gross income, taxes, deductions, insurance, garnishments or charitable contributions. Pay stubs arrive pre-inserted into individually sealed envelopes and are ready for distribution.

Payroll Forms Management

Employers Resource knows that the cost of managing forms increases every year due to increased personnel costs associate with more paperwork, which in turn results in more administration time spent reading, completing, processing, transferring, referring to, and filing these payroll related forms. Unfortunately, these issues only increase as a company expands its operational footprint nationally, because each state poses different issues in terms of requisite payroll related forms, calculations and regulations.

By offloading the administration of these payroll related forms to Employers Resource, our clients become more efficient in their everyday operations, and are secure in the knowledge that they have implemented a system which assures compliance with state and federal regulations on forms usage, administration and retention.

Payroll Reporting

Employers Resource knows the value of data - especially as it applies to payroll; typically a company's single largest cost. Our payroll specialists provide clients with detailed reports, compiled to their unique specifications, covering each and every payroll run. Additionally, we compile reports for clients which provide payroll visibility on a quarterly and annual basis.

In addition to providing payroll data to our clients, Employers Resource is responsible for managing, reporting and paying all local, state and federal taxes for our clients. When tax time comes due, our tax specialists create client specific reports which detail individual tax lines, as well as copies of all tax reports and payments.

Collections and Garnishments

Employers Resource has processes designed to support collections and wage garnishments. In these rare cases, the payroll specialists at Employers Resource withhold or make payroll deductions from the affected employee's paychecks only after being notified by the appropriate authority in accordance with a garnishment, judgment or court order which authorizes Employers Resource (as the employer of record) to withhold or deduct wages.

Examples of involuntary collection and wage garnishment processes would include:

  • Tax Lien Collections
  • Child Support Garnishments
  • Creditor Garnishments

It is important to note that involuntary collection and wage garnishment are very often difficult on the employee and from a legal perspective, can be very different from state to state.
